For members of the association
Entering into and maintaining membership
We collect and use the personal data you provide to us because it is necessary to register you as a member and to administer your membership. Of course, we will keep you informed about the association, your membership, the activities we organize, and industry developments relevant to you. We also use your data for other necessary aspects of membership, such as billing you for membership dues.
Subscription to the association newsletter
Our Fedecom magazine is included with your membership. Members receive this magazine free of charge. In order to send it to you, we must collect and use your personal data. This processing is necessary to fulfill the terms of your membership. Because our magazine is printed by a third party, we also share your personal data with the printer/publisher. We have a legitimate interest in this transfer, namely the interest in outsourcing certain activities to third parties.
Hallmark
We collect and use your personal data to communicate with you regarding the quality mark program that may apply to you. In the event of an audit related to the quality mark conducted by an external party, we will share your personal data with the company performing the audit. This processing is necessary to fulfill the terms of your membership.
Listing member companies on website
If you gave us permission to do so when you joined as a member, we will include your company information on our website. This allows potential customers to contact you through our website. We retain all personal data that we collect and use in connection with your membership for up to one year after the association year in which your membership with us ended.
Technical helpdesk
Part of our association’s membership benefits is that members can use the technical help desk. This processing is also necessary to fulfill the terms of membership. We retain personal data that we collect and use for technical support for up to one year after the last contact.
Commercial MailingsIn our newsletters, we draw your attention to third-party products and services that may be of interest to your company. These mailings may therefore contain commercial content. For board members and volunteers of the association
An association has board members. We collect and use the personal data of our board members to enable them to perform their duties. We view the relationship between a board member and the trade association as a “contract” within the meaning of the GDPR. The processing activities we carry out are necessary to fulfill the contract. In addition, we use the personal data to register them as board members in the commercial register and to report any changes to the commercial register. We therefore disclose your personal data to the Chamber of Commerce. We are legally required to do so.
If you are a volunteer for the association, we collect and use your personal data to communicate with you about the various aspects of your volunteer role. This processing is therefore necessary for entering into and performing this agreement. We will retain the personal data of board members for a period of 7 years following the end of the agreement. For volunteer representatives, this period is one year following the end of the agreement.
Listing of board members and member council members on the website
On our website, we list which member companies serve on the various boards and the Members’ Council, who represents them, and what role the member holds within the council. We publish this information on our website so that members can contact you for purposes that are in the interest of our association. We only publish personal data in this context if you have given us your consent to do so. As soon as you leave your position, we will, of course, remove your personal data from our website. You may also withdraw your consent at any time.
For students or training participants
If you have registered for a course or training program, or if your employer has done so on your behalf, we will collect and use your personal data to issue a certificate or diploma for you. This processing is necessary for the performance of the course agreement. We use your email address to send you this privacy statement and will delete it afterward. We may share your personal data with the organization that provides the course or training program on our behalf, so that this organization knows who is taking the course and can issue the certificate or diploma. For suppliers and contractors
We collect and use the personal data that suppliers or contractors provide to us because it is necessary to enter into and fulfill any agreement with you. For example, because you will be speaking at one of our association events. The association has a procedure in place for individuals who have a complaint about a product or service provided by one of its member companies. You can fill out a complaint form on our website. In order to process, communicate about, and resolve the complaint, we need to collect and use personal data from both the person filing the complaint and the contact person at the member company. If necessary, we may share your personal data with the party responsible for providing an independent assessment of the service or product in question. The processing we carry out is necessary to implement the complaint procedure, which we consider a “contract” within the meaning of the GDPR. When transferring your data to an expert, if applicable, we have a legitimate interest, namely the interest in outsourcing certain activities to third parties.
